5 Tips For Staying On Task

Distractions, whether intentional or not can totally blow a work-day. Here are a few ways to help you stay on task:
Create & Use To Do Lists
Before you sign off for the night, make a list of the things you must get done the following day. Then mark items off as you complete them.
Break Down Large Projects
Large projects can be overwhelming. Instead of thinking of the whole project, try breaking it down into manageable tasks. Add just one or two tasks to each day’s To Do list and before you know it, the whole project will be complete.
Use A Timer
Does it seem like you are always working on the same task? Try using a timer to remind of when to stop. Decide how long you want to spend on a task, set the timer and when it goes off, stop and move on to the next task.
Take a Break
If your mind keeps wandering, stop and take a break. A short walk, drink of water and a stretch will make you feel refreshed and ready to work.
Switch Tasks
If you simply cannot stay focused on a task, stop what you’re doing and move on to something new. Come back to the first task when you feel more focused.
Customer Support: Ticket System vs. Email

There are several ways to offer customer support but two popular options are through email and online ticket systems. Though both have their benefits, I find that using a ticket system is a much easier and efficient way of doing it. Here’s why:
- Tickets are not caught in spam filters
- Ticket systems have options for using visual verifications to block spam, thus cutting the time spent on customer service
- Email programs crash causing information to be lost, creating chaos for weeks
- Ticket systems save everything in a history that you can search through with ease
- Emails accidentally get deleted. Ticket systems typically take two steps to delete
- Email addresses tend to be blacklisted therefore my reply doesn’t reach the customer
- My clients (or another assistant) can jump in and answer questions if I’m on vacation or get stuck on something.
- My clients can monitor my replies in the beginning to ensure I’m answering correctly.
- I handle multiple addresses for multiple clients & it can become overwhelming at times to have 20+ accounts set up. With a ticket system, I can manage multiple departments/addresses with a single log in.
- I can access it from any computer at any location and only have to remember one url and login detail.
Although ticket systems are my preference, there are times when email just makes more sense. These would be:
- When you cannot afford a ticket system
- When you need someone to jump in immediately and cannot wait for setup
- When you don’t receive enough customer support email to justify the price
- When you’re just getting started and need time to gauge the amount of service requests you receive
Regardless of which way you choose to handle your customer service, keep in mind that it doesn’t have to be permanent. If you start with one way and it doesn’t work for you, simply switch to something else and see if that works better. You may even find that a combination of the two works best.

There are several disadvantages with this basic email method. Correspondence may not be easy to track. Communicating with customers, who have certain addresses (such as AOL), could be difficult.
A support ticket system is the other option for customer support. A ticket system is a program which is downloaded to your server and managed from your site. Clients go to this customer support center to submit a ticket. When your customer service is handled by this method, your virtual assistant will sign in and take care of everything through the system.
The disadvantages with this method are few. The advantages are that all support is handled and stored in one place; communications are easier to track; multiple people may sign in and manage different accounts; and if your virtual assistant has an emergency, you can easily have someone else manage your customer service until your VA returns.

5 Things To Do When Business Is Slow

No matter how successful a business is, there are times when business gets slow. For some it may be the summer months when everyone is on vacation and for others it may be during the holiday season. Whenever your slow time is, it’s important not to be discouraged and lose focus. In fact, there are many ways you can use these slow times to your advantage. Here are 5 things to do when business is slow:
Review and create goals – Pull out your business plan and look over your goals. Amend goals that are still appropriate but have changed slightly. Add new goals that have surfaced since you last looked at your plan. This is especially helpful when done at the end of the year.
Update websites – View your website from a client’s point of view. Make sure all links and information are still valid. Log in to the backend of your site through FrontPage, FTP or whatever program you use and revise and consolidate folders where possible.
Take time to network – Visit and participate at websites where your colleagues gather. You can find new friends, new customers, and even people who may be interested in a joint venture.
Locate new resources – Spend some time browsing the internet. Look for information sites that might be beneficial to your business or team of assistants. Bookmark or make a list of these sites and include a note stating how you could use the information in the future.
Learn to use new software – Since business is slow and there is less demand on your time, this might be a good time to learn to use new software or familiarize yourself with a specific program. Did your computer come with a program that you’ve never used? Try it out and discover how it might benefit your business.
The important thing is to keep your business moving forward. You’ll get a sense of accomplishment and your business will benefit too!
